SUMMARY - Supports the Human Resources Manager and Benefits Manager in the day to day administration of the Human Resources Department. Under the guidance and direction of the HR Manager, the HR Generalist is responsible for enhancing department functions by planning, implementing and developing training, onboarding, and employee orientation programs, the administration of employee benefits, payroll administration, annual benefits audit preparation and answer employee questions regarding pay, benefits, policies and procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Assist with developing and implementing training and onboarding programs.
Respond to employee inquiries regarding payroll and benefits, including health and dental, 401k, PTO, FMLA and general employee personnel issues.
Assist managers with recruitment and interview process, including phone screens, posting job ads, scheduling applicants, sending application information, and gathering feedback as necessary. Submits background checks on potential new employees and reports results back to hiring manager.
Schedule and conduct new employee orientation activities including meeting arrangements, compilation of new hire paperwork and overview of timekeeping and payroll systems. Conduct benefits enrollment for eligible employees; assists with benefit administration including health, dental, voluntary life, vision, short/long-term disability, 401k and ESOP retirement plans.
Input new employee information into payroll and timekeeping systems to create employee record.
Verify I-9 documentation and maintain file.
Prepares FMLA letters and notifications as required.
Coordinates and monitors the Alcohol and Drug Testing Program. Maintains drug-testing records on all drug testing conducted. Prepares annual DOT drug and alcohol testing reports. Coordinates annual queries to the DOT Clearinghouse on all qualified drivers.
Assists HR Manager with administration of the 401k and ESOP retirement plans. Uploads weekly and semi-monthly contribution files to 401k administrator. Ensures upload file is accurate and corresponds with payroll data. Assists with annual ESOP contribution distributions and processing of payment to former employees. Will also assist in preparation of annual audits of the 401k and ESOP retirement plans.
Assist HR Manager with annual performance reviews. Coordinates the employee annual review process by maintaining accurate up to date employee records in the performance review software. Troubleshoots any questions from management regarding the software. Ensures that performance reviews are completed annually and returned to Human Resources timely.
Assist with maintaining file system and files correspondence and other records. Assists in maintaining confidential employee information by updating and entering data into payroll, human resources and time on demand databases, such as updating and maintaining employee benefits, employee status and similar records. Performs file and database audits to ensure that all required employee documentation is accurate, collected and maintained properly.
Participate in administrative staff meetings and assists with planning company events. Assist with coordinating employee meetings and group events, assists with preparing agendas, and reserving and preparing facilities.
Under direction of the HR Manager, maintains, creates and updates job descriptions. This includes analyzing and evaluating positions and writing descriptions as new positions are created or changed.
Compiles reports and creates spreadsheets as needed for monthly/annual reporting and special projects.
Assist HR Manager with projects and assignments as needed
Special Skills
Must be adept at problem-solving, including being able to identify issues, respond to inquiries, address employee concerns in a timely manner or bring issues forward to the HR Manager for resolution.
Must possess strong interpersonal skills and be able to communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, in group presentations and meetings. Confidentiality of sensitive information is required.
Must be organized, accurate, thorough, and able to monitor work for quality.
Must possess computer skills and be proficient in Excel, PowerPoint, Word, HR/Payroll software and HRIS systems. Prefer 2 to 3 years utilizing web based electronic HR/Payroll systems.
Ability to understand, interpret, develop and communicate company policies and procedures.
Ability to establish and maintain effective working relationships and strong customer service skills.
Ability to take initiative to complete projects, tasks and assignments.
Ability to empathize and defuse sensitive or contentious employee issues.

EDUCATION and/or EXPERIENCE
Bachelor's Degree preferred; 5-7 years in similar HR Generalist position with payroll and benefits administration background/experience.
COMMENTS
