Executive Assistant to the VP Student Development
This professional staff position is charged with supporting the Vice President of Student Development (VPSD). The position manages a wide range of matters of importance on behalf of the VPSD. Provides outstanding customer service to the campus community. Coordinates special projects. Addresses emergency situations as well as routine work problems. Delivers information and communicates with the public using social media.
Characteristics, Duties, and Responsibilities
Under the direction of the VPSD, supports student success initiatives aimed at increasing graduation rates, retention and graduation.
Assist with special events and activities including commencement and award ceremonies.
Organizes activities such as internal and external meetings, speaking engagements, department activities and ensure the necessary meeting preparations, including media, IT needs, room reservations, and catering.
Drafts correspondence with accurate preparation as directed by the VPSD.
Manages the VPSD calendar and maintains communication with appropriate internal and external contacts regarding calendar items and activities.
Responsible for aspects of the division budget, including preparation and processing of expense report reimbursements and credit card reconciliations, invoices for payment, and funds transfer requests.
Process travel arrangements related to the VPSD activities.
Manages and distributes incoming and outgoing correspondence. Handles matters of a confidential nature with discretion.
Coordinates and monitors information flow and advising the VPSD on critical matters.
Assist in the creation of promotional materials for the division.
Performs related duties as assigned.
Education Requirements
Associate s degree required.
Experience
Diversified high level administrative experience is preferred.
Event planning and project planning
Competencies and Skills Required
Possesses curiosity for learning and demonstrated ability to resolve conflicts.
Possesses excellent oral communication skills.
Strong written communication skills and the ability to author, edit and revise reports, publications and documents.
Expert knowledge of Microsoft Windows office software and applications.
Ability to work simultaneously on multiple projects and with shifting priorities.
Ability to utilize social media to communicate.
Physical Demands and Work Environment
This position s duties are normally performed in a typical interior/residence work environment, based on the activity scheduled.
Some physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.
No or very limited exposure to physical risk.
Some travel required.

Terms of Employment
Full Time. Flexible schedule to meet department needs. Some evening, weekends, and extended hours will be required. Ability and willingness to travel on short notice to all on and off- campus sites as needed by the College. Mandatory overtime is required throughout the year, especially at peak times. Employee must establish primary residency in New Jersey within one year of appointment unless an exemption applies.
