The Counseling Center is part of the MU Student Health and Well-Being unit, which includes the Counseling Center, Student Health Center, and Wellness Resource Center. The Center serves a diverse student community. The Counseling Center focuses on providing quality clinical services and training and seeks like-minded professionals to join a team engaged in the efforts to enhance campus services to better support all students.

Job Description

This role provides oversight for the day-to-day office management of the Counseling Center, as well as administrative assistance to the center's Leadership Team. Day to day oversight includes direct supervision of three administrative support positions; development, implementation, and compliance of administrative procedures; and maintaining high quality customer service to MU students within a high volume, fast paced mental health care setting. Administrative assistance to the Leadership Team includes procedural implementation, trainee onboarding and coordination, and operational tasks as assigned.

Duties include, but are not limited to:
  • Provide direct supervision of the support staff, which includes interviewing applicants for support staff positions; completing performance evaluations; assigning and evaluating work tasks; managing daily schedules and innovating and streamlining office procedures.
  • Support front office directly when assistance is needed including direct customer service, including checking in, scheduling, answering phones, and maintaining client files.
  • Maintain the highest standards of HIPAA compliance and confidentiality and assist with maintaining confidential, effective, and efficient office practices and interactions.
  • Maintain business accounts for third party vendors.
  • Maintain inventory and ordering of office supplies and marketing materials.
  • Prepare offices, IT, and clinical needs for incoming clinical staff and trainees.
  • Serve as point of contact to IT, assess IT needs, and troubleshooting.
  • Maintain Center's security including oversight of keys and access.
  • Provide administrative assistance to the Director and two Associate Directors (Clinical and Training). Specifically, the person in this role will prepare materials, create, and maintain physical and electronic organization systems, conduct clinical correspondence, provide research support including basic data entry, manage technology for the training program and larger Center, attend committee meetings, communicate with applicants for training and professional positions including travel arrangements and scheduling.
  • Develop & maintain updated knowledge of departmental programs and services, office practices, and policies and procedures in order assist departmental operations; Develop and maintain a working knowledge of relationship of department to campus community.
  • Serve as a point of contact to Student Affairs Division for HR and financial operations.
  • Assist with staff meeting and travel arrangements and payments, as needed.
  • Serve as the primary point of contact for the Center's upkeep and maintenance.
  • Maintain an updated knowledge of policies and procedures related to Campus Facilities and work with Campus Facilities and building colleagues to minimize disruptions to operations.
  • Develop practices with Campus Facilities staff to insure attention to confidentiality, noise abatement and timeliness of project initiation and completion.
  • Other duties as assigned or as emerge in the course of business need.
Shift

7:45am-4:45pm, Monday-Friday.

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

Minimum Qualifications

A Bachelor's degree or equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary; must have experience providing supervision or demonstrate the necessary skills to provide supervision.

Preferred Qualifications

Candidates ideally possess strong interpersonal skills and are able to manage high pressure situations and numerous priorities and constituent needs with tact, discretion, and a flexible demeanor.
  • Ability to prioritize, multi-task, and pay attention to details while still managing the larger structure.
  • Provide and receive feedback, maintain professional communications.
  • Prefer significant experience with managing staff and/or has demonstrated leadership within previous roles.
  • Excels in written and verbal communication skills and has strong organizational skills.
  • Takes initiative and is able to work independently, requiring minimal oversight for timely task completion.
  • Ability to maintain information related to policies and procedures.
  • This position heavily utilizes computers, an electronic health record, and IT, thus computer skills are necessary. Microsoft Word and Excel, and Adobe are highly preferred.
  • Strong dependability, with a history of reliable attendance and commitment to consistently delivering high-quality work.
  • Experience with HIPAA and confidentiality is strongly preferred.
Anticipated Hiring Range

Range: $18.50-$26.00 per hour, paid on a bi-weekly basis
